Ground Rules for Virtual Meetings


For conducting the virtual meetings efficiently, the manager should assign some ground rules and it should be a compulsion to follow these rules. Some of the basic rules in a virtual meeting are described below:


 Raise your hand: 




 

There are many people who participate in virtual teams. So, there are many chances that people will speak at the same time. In order to avoid any clashes, ask the team members to raise their hands if they have any questions or suggestions. This will help to create a positive environment during the meeting.

 


No cell phones:
 

The use of cell phones should be prohibited during the team meeting. This is because it have a negative impact on the environment of the meeting. The team members should try to maintain a constructive atmosphere during the meeting. The management can place a posture on the notice board in order to remind the team members that the use of cell phones is not allowed during the meeting.

 


Allow time to mingle:


According to Bock, “Unless all the participants have worked together in the past, you’ll need to allow for a time when they can get to know each other” (Bock, 2003). It is important to mix up with each other to know each other better. This is an important factor that helps to build up trust among the team members.
